Teachers submit grades and amendment requests through a structured approval workflow; academic heads and registrars review and act on those requests.

Approvals in the portal

Grade changes in Edurie go through a formal approval workflow before they take effect on student records. This ensures that every grade submission and correction is reviewed by the appropriate academic authority before it becomes official. Whether you are a teacher submitting grades or an academic head reviewing them, the Approvals section is where the workflow lives.

For approvers

Finding pending approvals

When you have items waiting for your action, a notification badge appears on the Approvals link in the sidebar. Click it to open the Approvals list.

The list shows every approval request currently assigned to you. Each row displays:

  • The request type (Grade Submission or Grade Amendment)
  • The class and grading period involved
  • The teacher who submitted the request
  • The date submitted
  • The current status (Pending, Approved, or Rejected)

Use the Status filter at the top of the list to focus on Pending items that require your action.

Types of approvals

  • Grade Submissions β€” A teacher has completed encoding scores for a grading period and is requesting that those grades be finalised on student records.
  • Grade Amendments β€” A teacher is requesting a change to one or more scores that were previously finalised. This may also include requests to unlock a closed grading period.

Reviewing an approval request

Click any row in the Approvals list to open the approval detail page. The detail page shows:

  • Request summary β€” the class, grading period, and the teacher making the request
  • Scope of changes β€” for grade submissions, the full list of student scores being submitted; for amendments, a before-and-after comparison of the scores being changed
  • Teacher's notes β€” any explanation or context the teacher provided with the request
  • Audit trail β€” a timestamped history of all actions taken on this request

Tip: Review the before-and-after score comparison carefully for grade amendment requests. The diff highlights only the cells that changed, making it easy to spot the specific corrections being requested.

Approving a request

After reviewing the details:

  1. Click Approve at the top of the approval detail page.
  2. A confirmation dialog appears summarising what will be applied.
  3. Click Confirm Approval.

The request status changes to Approved, the teacher is notified, and the grades are applied to student records immediately.

Rejecting a request

If a submission has errors or requires revision before it can be approved:

  1. Click Reject at the top of the approval detail page.
  2. In the rejection dialog, enter your comments explaining why the request was not approved and what corrections are needed.
  3. Click Confirm Rejection.

Warning: A rejection comment is required. The teacher cannot see your reasoning otherwise, which leads to repeated back-and-forth. Be specific about what needs to be corrected.

The request status changes to Rejected, the teacher is notified with your comments, and they can revise and resubmit.

For submitters (teachers)

Tracking your submitted requests

Every approval request you have submitted appears in the Approvals list. Filter by My Submissions to see only your own requests. Each row shows the request type, the class and grading period, the date submitted, and the current status.

Submitting grades for a grading period

After you have finished encoding and reviewing scores in the gradebook:

  1. Open the class detail page and go to the Gradebook tab.
  2. Click Submit for Approval for the relevant grading period.
  3. Add an optional note for the approver (recommended if there are any unusual circumstances).
  4. Click Submit. The request appears in the Approvals queue of your designated academic head or registrar.

Note: You can only submit a grading period once all required grade items have scores encoded for every enrolled student. The Submit for Approval button is disabled if there are empty cells in the gradebook.

Understanding returned (rejected) requests

If your submission is rejected, you will receive an in-portal notification and an email. To see the approver's feedback:

  1. Go to the Approvals list and click the rejected request.
  2. The approval detail page shows the approver's comments in the Reviewer Notes section.
  3. Read the notes carefully to understand what corrections are required.

Resubmitting after revisions

Once you have made the necessary corrections in the gradebook:

  1. Return to the rejected approval request.
  2. Click Resubmit.
  3. Add a note explaining the changes you made in response to the reviewer's feedback.
  4. Click Submit. The request status resets to Pending and the approver is notified.

Tip: Reference the approver's comments directly in your resubmission note (for example, "Corrected Juan dela Cruz's quiz score from 18 to 14 as flagged"). This speeds up the re-review process.

Requesting a grade period unlock

If a grading period has already been closed and approved but you discover an error, you must request an unlock before you can make changes:

  1. Go to the Approvals list and click New Request β†’ Grade Period Unlock.
  2. Select the class and the grading period you need reopened.
  3. Enter a reason for the unlock request (required).
  4. Click Submit Request.

Your designated approver will review the request. If approved, the grading period reopens in the gradebook and you can make corrections. After correcting, submit the grades for approval again as a Grade Amendment.

Warning: Unlock requests affect the official academic record. Only submit them when a genuine error exists β€” not to inflate or change grades retroactively without justification.

Frequently asked questions

Who receives my grade submission request?

Approval routing is configured by your school's administrator. Typically, grade submissions go to the class's academic head or department chair, and grade amendments may route to the registrar as well. Contact your school's admin team if you are unsure who your designated approver is.

Can I edit a submission after I have sent it for approval?

No. Once a request is in Pending status, the submission is locked to preserve the integrity of the review. If you need to make a change before the approver acts, ask your approver to reject the request with a note β€” then correct the gradebook and resubmit.

How long do approvers have to act on a request?

Edurie does not enforce a time limit at the platform level. Your school's policy determines the expected turnaround time. If a request has been pending for an unusually long time, follow up directly with your approver or department head.

What is the difference between a Grade Submission and a Grade Amendment?

A Grade Submission is the initial submission of scores for a grading period β€” it happens once per class per grading period. A Grade Amendment is any change to scores after a period has already been approved and closed. Amendments require an unlock request first, then a second round of approval after corrections are made.

Can approvers see the full gradebook, not just the changes?

Yes. The approval detail page shows the full context for a submission β€” all student scores for the grading period in question. For amendments, it additionally highlights only the changed cells so reviewers can focus on the delta while still having the full picture available.

Will students see their grades before the submission is approved?

Students see grade items and scores as soon as a teacher publishes them from the gradebook. However, grades are not stamped as Official on the academic record until the grade submission is approved. If your school communicates official grade release dates, students should be aware of this distinction.
